Port of Galway are currently on the search for aspiring Office Manager/Executive Assistant to join their team.Â
This role offers an exciting opportunity to work closely with senior management in a dynamic public body. The ideal candidate will be highly organised, proactive, and have a passion for supporting leadership teams.
Role Responsibilities:
- Provide comprehensive administrative support to the CEO and management team, including scheduling and managing appointments
- Organise and attend meetings, prepare documents, presentations, and record minutes for board meetings and committees
- Collaborate closely with the Board of Directors, ensuring all statutory requirements are met
- Manage and complete lobbying returns
- Compile statistics on a quarterly basis and submit to relevant body.
- Assist with ad-hoc projects assigned by the executive team, ensuring timely and efficient completion.
- Manage the CEOâs calendar and travel arrangements for executive team as required.
- Maintain personnel records; organise and attend staff meetings.
- Actively contribute as a member of the Corporate Social Responsibility team and the âGreen Team.â
Role Requirements:
- Exceptional organisational skills and ability to work independently in a busy office environment. Strong personal efficiency and time management skills.
- Experience in creating and designing PowerPoint presentations
- Proactive attitude with a sense of responsibility.
- Demonstrated discretion and trustworthiness when handling sensitive information.
- Strong communication skills.
- Minimum 5 yearsâ experience as an Office Manager/ Executive Assistant or similar role.
- Proficiency in Microsoft Office 365.Â
