Port of Galway are currently on the search for aspiring Office Manager/Executive Assistant to join their team. 

This role offers an exciting opportunity to work closely with senior management in a dynamic public body. The ideal candidate will be highly organised, proactive, and have a passion for supporting leadership teams.

Role Responsibilities:

  • Provide comprehensive administrative support to the CEO and management team, including scheduling and managing appointments
  • Organise and attend meetings, prepare documents, presentations, and record minutes for board meetings and committees
  • Collaborate closely with the Board of Directors, ensuring all statutory requirements are met
  • Manage and complete lobbying returns
  • Compile statistics on a quarterly basis and submit to relevant body.
  • Assist with ad-hoc projects assigned by the executive team, ensuring timely and efficient completion.
  • Manage the CEO’s calendar and travel arrangements for executive team as required.
  • Maintain personnel records; organise and attend staff meetings.
  • Actively contribute as a member of the Corporate Social Responsibility team and the “Green Team.”

Role Requirements:

  • Exceptional organisational skills and ability to work independently in a busy office environment. Strong personal efficiency and time management skills.
  • Experience in creating and designing PowerPoint presentations
  • Proactive attitude with a sense of responsibility.
  • Demonstrated discretion and trustworthiness when handling sensitive information.
  • Strong communication skills.
  • Minimum 5 years’ experience as an Office Manager/ Executive Assistant or similar role.
  • Proficiency in Microsoft Office 365.
